Requirements
- āBased in the United States or Canada
- āBachelor's degree in Business, Operations, Supply Chain, Finance, or a related field
- ā1ā3 years of experience in sales operations, trade operations, logistics, or administrative roles, preferably in a technology or hardware environment
- āFamiliarity with U.S. export regulations (EAR, ECCN classifications, OFAC) and international shipping documentation
- āExperience coordinating with freight forwarders, customs brokers, or carriers and working with commercial invoices, packing lists, BOLs, SED/EEI filings
- āComfort researching and documenting product specifications (weight, dimensions, configurations)
- āProficiency with CRM platforms (HubSpot strongly preferred) and experience building reports, workflows, and dashboards
- āStrong working knowledge of commercial document workflows such as contracts, invoices, and purchase orders and coordinating with legal and finance stakeholders
- āFamiliarity with OEM/ODM/VAR partner portal processes and distributor registration programs (strong plus)
- āSolid data skills with Excel or Google Sheets and ideally BI tools such as Looker or Tableau
- āExceptional organizational skills and attention to detail

Responsibilities
- āDraft, review, and process commercial documents including NDAs, sales agreements, purchase orders, and invoices
- āMaintain organized document repositories and ensure version control
- āSupport contract renewals, amendments, and compliance tracking
- āIdentify and vet hardware supply sources across OEMs, ODMs, distributors, and secondary markets
- āTrack inventory availability, lead times, and pricing to support deal execution
- āCoordinate with vendors on quote requests, allocation inquiries, and order confirmations
- āResearch and document product specifications including configurations, weights, and dimensions
- āPrepare and process export documentation including commercial invoices, packing lists, certificates of origin, SED/EEI filings, and EAR/ECCN filings
- āConduct denied party and export control screening in accordance with U.S. export regulations
- āCoordinate with freight forwarders, carriers, and customs brokers to ensure accurate and timely shipments
- āMonitor shipment status and proactively resolve logistics issues or documentation gaps
- āMaintain a compliance log for international transactions and flag items requiring licensing review
- āLog and maintain accurate deal, contact, and account data in the CRM
- āBuild and manage workflows and automation to reduce manual data entry and improve pipeline visibility
- āAudit CRM data quality and flag inconsistencies
- āManage reseller, VAR, and distributor registration processes and track renewal dates
- āPull, clean, and analyze sales and pipeline data to produce weekly and monthly performance reports
- āBuild dashboards and visualizations to track KPIs including revenue, margin, pipeline velocity, and win/loss trends
- āSupport market analysis, competitive landscape summaries, and customer segmentation insights
- āServe as operational point of contact between Sales, Finance, and Legal for deal-related administrative needs
- āAssist onboarding new customers and vendors by coordinating documentation, compliance checks, and system setup
